1. What is In-recruiting?
In-recruiting is a recruitment software, specifically an Applicant Tracking System (ATS). It is a specialised software providing 360° management of the recruitment process: from the publication of job ads, to the organisation of profiles and applicant CVs, from the analysis and search for candidates in a database, to organising interviews and coordinating the internal recruitment team with a unique, centralised system.

2. Why should I use an ATS?
An Applicant Tracking System allows a company to save time and significantly reduce manual labour, allowing them to more optimally organise their internal recruitment processes. For a company this translates into considerable resource savings and a clear reduction in time and cost of recruitment.
In-recruiting is dedicated to companies (multinational and SME), recruitment agencies, and headhunting service providers.
For this reason it is possible to choose between different versions of our ATS: SMART, is suggested for clients that do not need to personalise the software, and ENTERPRISE that you can personalise and integrate with other third-party software solutions and adapt to your specific requirements. The SMART version also allows a high degree of configuration from the user and in fact meets the needs of 90% of our customers.

3. Who owns the data that In-recruiting collects?
The profiles and the applicant CVs are the exclusive ownership of the client. Only the company users can access the database of applicants, using their login credentials. It’s possible to create different rules and permissions, in order to provide different users (for example recruiters or line managers), with access to various functionality. In this way even very complex structures, such as recruitment agencies or multinationals, can coordinate lots of subsidiaries with a centralised tool that provides customised access at different levels.

4. So, is an ATS just a portal for posting job ads (a Job board)?
No: an ATS has a wider scope than a Job board because it allows the management of the whole recruitment process not just a few steps. A Job board is a portal for publishing job ads and collecting applications, usually through a temporary database of CVs that you have to pay for.
The best ATS are integrated with lots of different Job boards and allow you to use Multiposting to publish job ads on a dozen portals with just one action, then collect the candidate profiles to a centralised database that is owned by the company (not just temporarily ‘borrowed’ as is the case with Job boards), tracing the source of every CV so that you can then compare the different Job boards and identify which ones deliver the best results for your company.
As for the ads there is no limit: you can publish as many ads as you need to.
Also, regarding the CVs that you receive, there is no limit: when you purchase the product there is a step to decide and define the capacity of the database, based on your business need, from a minimum of 250 CVs, up to ‘unlimited’ capacity.

5. With the In-recruiting Multiposting feature, can I also publish job ads overseas?
With In-recruiting you can use Multiposting to publish ads to up to 35 Job boards, both in the UK and overseas. In this way you can also set up and manage your international recruitment campaign. Based on the work location that is set during the ad creation (e.g. Germany) the system will publish the ads directly in the local portal of each Job board.

6. Can In-recruiting integrate to my company site?
In-recruiting integrates with your web site and doesn’t in any way impact your corporate IT systems. You simply insert the javascript code and it automatically generates into the web page where you want to publish your job ads and open applications (usually the “work with us’ page). This will only take your web manager a few minutes. In the Enterprise version of In-recruiting you can also define and personalise all of the integration procedures.
There is also the opportunity to integrate a registration form and job ads directly in your company web site, In-recruiting gives you the chance to quickly and easily manually create a Career Page managed by the software. It’s possible to define the graphics of the Career Page, the logo and the banner, insert text that introduces your company, the job ads, the registration form, and the direct link to your company social channels: in this way all the CVs are directly inserted to your database and are immediately available.
The Career page has a preset domain that you can connect directly to your business website with a simple link.

7. Can I use In-recruiting to do Social recruiting?
It’s possible to quickly connect In-recruiting with your Social profile so that you can manage Social recruiting campaigns together. In particular you can share every job ad on your personal LinkedIn profile (and Facebook and Twitter) with just one click and re-direct all the candidates to your registration form on In-recruiting (so that you collect all of the data in a centralised area).

8. Can I connect In-recruiting with LinkedIn?
In the circumstances where you are using job slots on LinkedIn to publish job ads you could decide to re-direct the candidates to a registration form on the ‘work with us’ page of your website. This is a way of reinforcing your Employer Branding, of collecting information about your candidates in a more structured way, giving you the chance to perform more advanced searches of candidates, it is much more powerful than the functionality on LinkedIn (thus reducing your screening time).

9. Does your software work on mobile devices?
Our system is mobile friendly and can be used on any device, using any browser. The interface is ‘responsive’ so it adapts to the size of the device being used. Also, the registration form used by the candidates and integrated onto the clients’ website is optimised for mobile: the candidates can send their CV seamlessly using smartphones, or by uploading their CV and files on Google Drive or Dropbox.

10. Are my CVs secure?
Of course, your data is secure. In particular, data is placed on the In-recruiting servers in Italy, in a structure that guarantees maximum safety, reliability and continuity of service. The server farm (Seeweb Srl) is monitored 24 hours a day and its security systems block any access by unauthorised parties. We also guarantee the security of back up copies of data and server systems located in different geographic locations from the server farm, to ensure maximum data security.

11. What happens to my data if I decide to stop using In-recruiting?
If you decide to stop using In-recruiting, the data related to the candidates will be given to you free of charge and removed from our servers. At any time you can also download the information from the CVs and the statistics available in In-recruiting using the advanced export functionality.

12. Can I download the database of CVs?
You can export all the information about the candidates at any time. Using a file compatible with MS Excel you can export all the personal data and data related to your candidate profiles that’s included in your database.

13. Can I import a database of CVs that I already own?
Yes, a client can import a CV archive and/ or existing profiles to In-recruiting at any time. Our technical team will do the operation, alleviating you of the manual activity. You can also load CVs received by email or in hard copy directly to In-recruiting.

14. What are the hardware and software requirements to run In-recruiting?
In-recruiting is a tool based in the cloud, which is accessed through credentials (each company has its own reserved area). This means that the only technical requirements you need to meet are having an internet connection, and a browser.

15. If I receive a printed CV or a CV by email or fax, can they be registered in In-recruiting?
Yes, business users can upload profiles and CVs in any format to the In-recruiting database at any time. In this way, all the information is kept in a single repository, accessible to all the business users. In addition we’ve developed an innovative Email Gateway feature that allows you to automatically upload data and CVs received by email to In-recruiting.

16. Do I need to call you if I want to change a field for applications or job postings?
One of the big differences about In-recruiting is that it is 100% customisable. At any time you can modify the registration forms, the fields for the candidate database and the entire workflow selection.

17. Can candidates add information to their profile?
Every candidate that sends an application will receive an email message to confirm their registration and to confirm their credentials (email and password) for accessing the reserved area for your company: there they can modify their profile and any associated documents, check the history of their submitted applications, interact with the company (via messaging, the calendar, questionnaires, video-interviews) and manage their privacy settings (at any time they can request the cancellation, anonymisation or deactivation of their profile).

18. Can I also manage my employees’ CVs?
Of course. We’ve developed a module for managing employees in the Enterprise version. This allows you to collect your employees’ CVs and carry out internal Job postings in your company. You can also export the information from your employees’ CVs using our template (for example if you need to submit the information for a tender or outsourcing service).

19. Does the system integrate with other HR management platforms?
We’ve integrated In-recruiting with the most well known HR software and personnel management software. So the systems ‘speak’ and exchange data seamlessly: when a candidate is selected and hired with In-recruiting their data is transferred to HR Management. If you would like to integrate In-recruiting with another third-party solutions we are open to working together to implement new integrations.

20. Do you do training on how to use your recruitment software?
Initial training is included for all In-recruiting clients (even for those that apply for the 14 day free trial) so that users can immediately take 100% advantage of our ATS. In addition our Customer Support team responds ‘live’ to any queries from customers. The guide is also available online with videos and instructions on how to use our software. Our customers are never left alone.

21. What type of support do you provide when using In-recruiting? And how much does it cost?
Whichever subscription you choose to In-recruiting you will have access to our customer support via email included in the fee. If you prefer we can also enable a level of premium support by phone. We have also created an online guide available 24 hours a day with all the information that you need.

22. What is the difference between In-recruiting Smart and In-recruiting Enterprise?
ATS In-recruiting is available in two versions. The Smart version is best for clients the don’t need personalised recruitment software. It is activated in a few minutes and has no activation cost.
The Enterprise version by contrast is best for clients that need to personalise the system according to their needs and to integrate with any third-party software. Our consultants are available to help you decide which of the two versions is best suited to your company.

23. What is the implementation time before you can start using In-recruiting?
In-recruiting is supplied in two versions: Smart and Enterprise. With Smart you can start using the system in just a few minutes. With Enterprise the timings vary depending on the configuration that you choose, but generally you can begin using it after just a few days.

24. How does the In-recruiting free trial work?
The free 14 day trial provides access to all of the In-recruiting functionality, without any obligation to buy. At the end of the trial period you can decide whether to purchase a plan that suits your needs, or whether to stop using the service (you can still download all of the information and CVs that you’ve collected).
